Privacy Policy

1. Who we are

OrderPing (“we”, “us”) provides notification and order-management software for restaurants and takeaway businesses in South Africa. This Privacy Policy explains how we collect, use, store, and share personal information in line with the Protection of Personal Information Act, 2013 (“POPIA”).

2. What personal information we collect

Depending on how you use OrderPing, we may process:

• Store and staff: name, email, phone, business name and address, billing-related information, and account credentials.
• Customers (entered by your Store): name, phone number, marketing consent flags, and related timestamps where captured.
• Order information: order details, status, notification history, and similar operational data linked to a customer where applicable.
• Technical data: IP address, device/browser type, and logs needed for security and reliability.

3. Why we use personal information

We process personal information to:

• Provide the Services: create and manage accounts, process orders, and send transactional notifications (e.g. order ready) by SMS or WhatsApp where enabled.
• Operate billing and support, enforce our terms, and protect against fraud or abuse.
• Send marketing communications to your customers only where your Store has obtained valid consent and uses features (such as SMS campaigns) in compliance with POPIA and applicable rules.
• Improve and secure the platform, subject to our legitimate interests and compatible purposes under POPIA.

4. How and where we store data

We use reputable cloud infrastructure to host the application and database. Personal information is primarily stored using Supabase and related services. Data may be processed on servers located in South Africa, the European Union, or other regions where our subprocessors operate, always with appropriate safeguards (such as contracts and security measures) required by POPIA when information is transferred across borders.

5. Sharing of information

We do not sell personal information. We share data only with service providers needed to run OrderPing (for example: hosting, database, authentication, payment processing, SMS/WhatsApp delivery), and only as required for those purposes. They must protect the data and use it only on our instructions where they act as operators or subprocessors.

6. Retention

We keep information for as long as your Store has an active account or as needed to provide the Services, comply with law, resolve disputes, and enforce our agreements. Your Store may delete certain customer data through the product where available; we can assist with broader requests as described below.

7. Security

We implement technical and organisational measures appropriate to the risk, including access controls and encryption in transit. No method of transmission or storage is completely secure; please use strong passwords and protect your devices.

8. Your rights under POPIA

Where POPIA applies, you and (in appropriate cases) your customers may have the right to:

• Request access to personal information we hold about them.
• Request correction or updating of inaccurate or incomplete information.
• Request deletion or restriction of processing in line with law, subject to our legitimate retention needs.
• Object to processing that relies on legitimate interests, where applicable.
• Lodge a complaint with the Information Regulator (South Africa).

Stores are often the responsible party toward their customers' data; we will work with you to honour valid requests that relate to data processed on your behalf.

9. Cookies and similar technologies

Our website and app may use cookies or local storage necessary for login, preferences, and security. We do not use intrusive third-party advertising cookies on the dashboard by default.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version here and change the effective date. Significant changes may be communicated by email or in-app notice where appropriate.
